Service

Body corporate secretarial and meetings

We keep your body corporate’s roll and records, and we call, attend and minute your general and committee meetings. Notices, agendas, voting papers and minutes are prepared on time, and we follow through on every resolution once it is passed.

What’s included

Secretarial

  • Accurate, reliable maintenance of the body corporate roll
  • Maintain and keep all body corporate records
  • Make the records available for inspection by lot owners, solicitors and others, and prepare certificates for solicitors
  • Attend to body corporate communications and correspondence
  • Implement the decisions of the body corporate and its committee

Meetings

  • Call and attend annual general meetings, extraordinary general meetings and committee meetings
  • Prepare the notice, agenda and documents for owners or their nominees
  • Record and distribute minutes of the meetings, and act promptly on the resolutions passed

Running your AGM

A Queensland AGM must be held within 3 months of the end of the body corporate’s financial year, with at least 21 days’ written notice to owners. Before year end, owners are invited to submit motions and committee nominations. We manage that timetable for you:

  • Invitation for motions and committee nominations, sent 3 to 6 weeks before year end
  • Notice, agenda, proposed budgets, insurance information and voting papers
  • Attendance at the meeting, with the roll and voting papers to confirm the quorum
  • Minutes to every owner within 21 days of the meeting

See the AGM checklist for Queensland committees.

Records and certificates

We keep the body corporate’s records in order and make them available for inspection by lot owners and their solicitors. We also prepare the certificates solicitors need when a lot is sold. To request records or a certificate, email bc.nq@century21.com.au with the scheme name and lot number.
