Thinking of changing managers?

Changing your body corporate manager is a normal, orderly process

In Queensland a new body corporate manager is engaged by ordinary resolution at a general meeting. The committee cannot do it alone, and owners must receive the terms of the proposed contract before the meeting. How your current engagement ends depends on its term, whether the manager agrees, or whether there are grounds to end it.

We explain the steps plainly and give you a written proposal your committee can put to owners.

  1. Check your current agreementIts term (no more than 3 years) and how it can end.
  2. Get proposalsCompare services, fees and how each manager works.
  3. Put it to a general meetingOrdinary resolution, with the contract terms sent to owners.
  4. Hand over the recordsWithin 14 days of the committee’s notice.

The body corporate year

What happens, and when, every year

Most of a body corporate’s calendar is set by legislation. Here is the yearly cycle we run for every scheme we manage.

The body corporate yearA four-stage yearly cycle: 1 nominations and motions before year end; 2 notice of AGM; 3 AGM, minutes and first levies; 4 second-period levies; then the cycle repeats.1234Body corporatefinancial year
  1. Before year end

    Nominations and motions

Committee nomination forms and a call for motions go to every owner 3 to 6 weeks before the end of the financial year. Nominations and motions come back before year end.

  2. Within 3 months of year end

    Notice of AGM

The annual general meeting is held within the first 3 months of the new financial year. Owners receive at least 21 days’ written notice, with the agenda, proposed budgets and voting papers.

  3. At the AGM, then within 21 days

    AGM, minutes and first levies

The AGM decides budgets, levies, insurance and the committee. Minutes go to every owner within 21 days, and levy notices for the first period of the year follow.

  4. Mid-year

    Second-period levies

Levies for the second period of the year are issued where the body corporate pays in instalments, with at least 30 days’ notice before each due date.

Common questions

What does a body corporate manager do?

A body corporate manager supplies administrative services to the body corporate: keeping the roll and records, calling and running meetings, issuing levy notices, paying accounts, arranging insurance and coordinating maintenance. Where a scheme has a committee, the manager acts on the body corporate’s instructions and sits on the committee as a non-voting member.

How do we change to Estate Plaza?

Request a proposal and we will send our terms. A new manager is engaged by ordinary resolution at a general meeting, and owners must receive the proposed contract terms before that meeting. Read how to change your body corporate manager in Queensland for the full process.

Do you manage small schemes and duplexes?
