Committees
Support for body corporate committees
Your committee makes the decisions; we do the administration that turns them into action. We prepare meeting papers, draft budgets with you, collect quotes, keep the insurance current and report on levies, working with the committee through its elected chairperson.
The committee and the manager
A committee has a chairperson, secretary and treasurer. Once engaged, the body corporate manager joins the committee as a non-voting member and does what the body corporate asks. Many bodies corporate authorise the manager, through its engagement, to carry out secretary and treasurer tasks, such as calling meetings, sending levy and contravention notices, distributing minutes and managing the funds.
Some decisions belong only to owners at a general meeting. Engaging a body corporate manager is one of them, as are adopting the budgets and setting levies at the AGM.
What we do for committees
- Committee meeting and general meeting notices, agendas, motions and minutes
- Draft administrative and sinking fund budgets for the AGM
- Quotes and work orders for approved maintenance, with follow-up
- Insurance renewals with the broker, valuations at least every 5 years, and claims
- Monthly reconciliations, financial statements and arrears reports
- Correspondence with owners, residents, contractors and solicitors
- Inspections of the common property before the AGM
If your scheme cannot form a committee
If the executive positions cannot be filled at the AGM, or there are fewer than 3 voting members, owners can engage a body corporate manager to carry out all of the committee’s functions. This needs a special resolution, by secret ballot unless owners have agreed by ordinary resolution to an open ballot, with no proxy votes and an explanatory note in the notice. The engagement ends at the next AGM or 12 months after it starts, whichever comes first. Talk to us if your scheme is in this position.
